What and why we collect personal information

If you contact us with an enquiry through our webpage forms, you will need to provide some personal information such as Name, Email Address and Phone Number. We will use this personal information to respond to the enquiry and track further correspondence. Personal information collected is not used for any other purpose then to book and manage your stay at Buckley Hall or for us to contact you regarding offers at Buckley Hall only.

We will collect and use your personal information for the following purposes:

  • For Anti-Money Laundering (AML) and identity verification, we require all clients to provide proof of ID of proof of address.
  • If you are an applicant for a rental property, we may require information such as personal name and address, identification (such as passport), PPSN, bank details and a landlord reference, this information is used to populate your letting agreement and also to process rental and deposit payments with you.


Consent

You will need to give consent for data to be processed, and we will ask for your permission in through our application form to store personal data or to receive correspondence. If you have contacted us to book accommodation we may contact you regarding letting updates, we may send you future emails relating to future letting opportunities. You can opt-out of any of these emails at any time by or emailing us directly.

Legal Requirements

We are required by the Property Services Regulatory Authority (PSRA) to store tenants’ data for seven years, therefore if you complete a booking of accommodation with us we are required to store your letting agreement and personal details therein.

Your Rights

Under General Data Protection Regulation, you have certain rights in relation to your information including a right to access, delete or to correct the information we hold on you.

Right of Access and Portability

If you would like to make an access request, you must apply in writing and fill out a Subject Access Request Form. Please give any additional details which might be needed to help us identify you or locate your information (e.g., previous addresses, customer account numbers).

Right of Rectification

If you believe that any information we are holding on you is inaccurate or incorrect, please write or email us as soon as possible at the above address. We will promptly correct any information found to be incorrect.

Right to Erasure

If you request that we delete your personal data, we will process your request unless there is a legal or regulatory reason not to do so. Unsuccessful booking applicants will automatically have their confidential information deleted from our records.

Right to Object

You have the right to object to data processing based on your particular situation. We will no longer process the data unless we can demonstrate compelling legitimate grounds.

If you object to being contacted through direct email offers, we will remove your details from our email list.

Rights in Relation to Automated Decision Making & Profiling

You have the right not to be subject to a decision when, it is based on automated processing, and it procedures a legal effect or similarly significant effect on the individual. We do not use automated decision making in relation to the information we collect.
